GENERAL INFORMATION

Passport, Visa & trek permit:
You must hold a passport valid for at least 6months after your departure date. For a restricted area trekking permit, we need to have the passport photocopies with four photographs, at least a month in advance. Nepal Visa, single or double entry as required can be obtained on your arrival in Kathmandu airport or from the Nepalese Embassy in your country. For visas to Tibet & Bhutan, you need to send photocopies of your passport at least a month in advance.

Visa can be obtained on arrival at the Tribhuvan International Airport, Kathmandu, at border entry points in Kakadvitta, Birgunj, Bhairahawa, Nepalgunj, Gaddachowki on Nepal-India border and Kodari on Nepal-China border. Visa can also be obtained at the nearest Nepal Embassy or Diplomatic Mission. Visa can also be obtained (renewal purposes) at Department of Immigration, Kalikasthan, Kathmandu.A valid passport and one passport -size photo with a light background is required. Immigration Department has not specified the size of the passport-size photo.

Visa can be obtained only through payment of cash in the following currency: Euro, Swiss Franc, Pound Sterling, US Dollar, Australian Dollar, Canadian Dollar, Hong Kong Dollar, Singapore Dollar and Japanese Yen. Credit card, Indian currency and Nepali currency are not accepted as payment of visa fee.

OtherInformation

Nationals from Nigeria, Ghana, Zimbabwe, Swaziland, Cameroon, Somalia, Liberia, Ethiopia, Iraq, Palestine and Afghanistan will need to obtain visa from Nepal Embassies or Diplomatic Missions in their respective countries, as they do not get visa on arrival at the immigration entry points of Nepal.

Visa Extension

Visa can extend by paying US$ 30 for 15 days (Minimum) and additional US$ 2 per day. 
Tourists can stay for a maximum of 150 days visa within a year (Jan 1 to Dec 31).

Trekking meal plan:

Our cooks are well trained to prepare & serve food hygienically. As per our set menu, the cook will prepare delicious foods of different varieties for Breakfast, Lunch & Dinner. You will be woken up with hot tea or coffee & with a bowl of hot water for washing. On special occasions, our cook will go out of the way to even prepare a Birthday cake! In the lodge trek there is a menu system and our Sherpa guide will prepare the meal.

Camping facilities:

At all our camping sites a day rest is scheduled. Normally we camp where an acceptable water facility exits. The tents we provide are roomy & comfortable, matching with clean sleeping bags. At all our camp sites a toilet tent & dinning tent with table & camp stools will be provided bringing a comfortable atmosphere to eat & chat with our staff. You are kindly advised to co-operate with our staff during the trek, for the collection of garbage & to help us protect & maintain a clean environment.

Altitude mountain sickness:

There is no real need for you to worry about the altitude, but you should be aware that it does not affect some people's performance. Though our trek are planned to allow time for acclimatizing, it is unknown to anyone how they will react to high altitudes. For the strenuous treks, you are advised to bring your own medical kits & a Gamow (pressure Bags).The vital factor, advisable here is to descend to lower altitude. Further, if any assistance is required, our Sherpa Guide is ready to all times.

Camping Gears:

We provide high quality Tents along with different capacity dining tents, tables & chairs, toilet tents, Kitchen tents & staff tents.

Porters Equipments:

Porters Sleeping tent, Trekking shoes, Socks, Gloves, Wooleen caps, Snow goggles, Gortex Jackets & Trousers, Medical & Life insurance, rescue evacuation, transportation to trekking stat & ending point.

Personal baggage:

We allow 15 Kegs of personal gear to be stored with us during your trek. You are also advised to be responsible for your own baggage during your trekking to avoid disappointment of loss of personal items.

Cultural/City tours:

Our capable & experienced city guide will escort you during your city-tours & cultural heritage tours of Nepal & provide comprehensive explanations in brief. On your request, we will provide you city guides who can speak your language to make your trips more enjoyable & to understand our culture more deeply.

Our Guides:

Our well trained Sirdar is experienced in leading the trails in different parts of the Himalayas, has knowledge regarding first aid, communication with local people & an understanding of their cultural & environmental aspects. He is always alert & ready with his staff to assist the team members, whenever & wherever required.

Transportation:

For Kathmandu city, we provide deluxe coaches for sightseeing & airport transfer. For trekking destinations, we provide heavy duty vehicles as per the condition of roads, to carry equipment along with the clients & our Nepalese crews.

Hotel Accommodation:

We use various types of hotel accommodation: from tourist standard to five star deluxe facilities, depending on the client's budget & preference.
Most of the hotels in Kathmandu are located within five to seven kilometers from the airport & ten minutes walk from the city center. For hotel accommodation outside Kathmandu, such as in Pokhara, Nepalgunj, Biratnagar & Lukla, recognized tourist standard hotels will be used for transit purposes.

Terms & Conditions:

Advance booking for the trips help us to plan better, to complete the local formalities, make flight & hotel bookings & to provide you a trouble-free holiday. Advance payment can be made by bank transfer along with the bank's service charge which must be borne by the clients. We also accept cash If the trek is shortened for any reasons beyond our control, I AM is not liable for any refunds of the amount already paid.

Regarding insurance: Everyone who plans to trek with us must have individual travel insurance to cover emergency Helicopter rescue costs, & includes medical & incidental expenses like extra travel (rejoining or repatriation) cost. A policy arranged with one of the companies we recommend is probably the best. You are strongly recommended to adopt a policy which also provides cancellation & extra baggage fees. Trekking member with the family are advised to make sure that they will be responsibly provided for in case of accidents.

Travel Insurance

A travel insurance policy that covers cancellation, injury, death, lost baggage, theft, liability, medical treatment and expenses is strongly recommended. Make sure the insurance covers all the activities that you will be undertaking during your stay in Nepal such as trekking and climbing. If a client becomes ill, all hospital expenses, doctors' fees and repatriation costs are the client's responsibility.

Rescue Insurance

If you are injured and unable to travel, you can ask for a rescue helicopter or charter flight from a remote airstrip only if you have definite proof you can pay for it. All trek organizers, including Mountain Hawk Trek, have an agreement in Kathmandu that guarantees payment for helicopter evacuations. They pay a cash deposit to the helicopter operator and collect the money from you once you have been rescued. Its then up to you to obtain reimbursement from your insurance company. Be sure your policy specifically covers helicopter evacuation. Also check that your insurance policy does not exclude mountaineering or alpinism or you may have a difficult time settling a claim. Although you will not engage in such activities, you may not be able to convince a flatland insurance company of this fact.

This means windproof jackets, trousers, fleece jackets, long johns, suitable footwear, socks, hat, gloves and sunglasses. - We never overload our porters, for us it's not all about making money. We thrive on being able to employ local people; we respect and treat each and every one it as we would expect to be treated with the up most res.

Terms and Conditions

A. All bookings are entered into by "The Client", with I AM Treks Pvt.Ltd. hereafter referred to as "The Company."

B. All bookings are subject to our standard terms and conditions, as outlined here, and accepted by The Client on their signing the agreement with The Company.

Terms and Conditions

(A) Bookings

Once The Client and The Company have agreed upon a program/trip - with services, dates and prices specified in writing or verbally- the Client should complete and sign the booking/agreement form.

(B) Payments

      (C)Payment Policies:

  • Deposit should be 50% of total amount per person (to be agreed).
  • Confirmation: On receipt of deposit The Clients place on the program will be confirmed.
  • Balance: Due no later than 60 days prior to departure.
  • Method: By bank transfer, credit card, cheque, or by cash.
  • Note: Bank charges will be charged at cost and payment by cost entails 3% extra.
  • Balance not received by the agreed date: We reserve the right to cancel the booking and the deposit will be forfeited - unless The Client specifies another date which The Company accepts. 

Cancellation Policies:

  • Cancellations made 60 days prior to booking date will receive a full refund less a 5% handling fee.
  • Cancellations made between 30 to 60 days prior to booking date will be charged a 25% cancellation fee.
  • Cancellations made 15-30 days prior to booking date will be charged a 50% cancellation fee.
  • Cancellations made less than 15 days prior to booking date will be charged a 100% cancellation fee.

 
(D) Insurance

The Company reserves the right to cancel any trip where The Client does not have suitable insurance - that also covers helicopter evacuation for ill health/accident.

(F) Complaints the Client will inform the group leader/Sirdar, explain the issue to be resolved "in the field". In the event that action taken is not to The Clients satisfaction, The Client must take direct contact with the Marketing/Operations Manager, and/or The Company M.D. to resolve the issue (verbally or in writing). In the event of the issue still not being resolved to The Clients satisfaction the complaint must be sent in writing to The Company M.D. - clearing stating the complaint, and if possible a suggested solution to the issue.

In the event of the The Client still not being satisfied, the two parties' should in the first instance agree to a third party arbitrator that is acceptable to both parties.

The terms and conditions of agreements made shall be subject to, and governed by Nepalese jurisdiction. Tours to Tibet are strictly run under the Tibet Tourism Authority.

I AM Treks Pvt.Ltd. notes that all tours have a degree of "adventure" in them. Tolerance, understanding and a sense of humor is important. We will at all times try to hold our clients informed about potential problems, dangers, and attempt to avoid all and any extra expenses.

(G) Health & Vaccinations

Ultimately it is your own responsibility to make sure that you are fit enough to join our adventure holiday trip. In line with this, you should have a through medical and dental check up before the holiday you also need specific immunizations when visiting some countries and this is explained in the Visitor to leaflet which we send to you when you book. On all of our trips, a comprehensive medical kit is carried.
